Users are resources and part of one or many Teams and Assignments. All users have a user name and can log in to PlanMill. Users also refer to all the persons or employees in the company listed in the HR database. That, for example, can report time using Time Sheet or Timer. Each user belongs to an account. All users are shown under Contacts. A team consists of one or more grouped users. Teams can be set as performers for requests and for tasks in Projects.

List view

When a user opens the users tab the list view of users is shown. As default, all the active users are shown. The data can be filtered using the filters in the filter section. Each row lists a user with links to different modules.

  1. By clicking on the "(edit)" for a user the form for editing the specified user is opened. Clicking on the user’s name opens the specified user’s summary view. That shows more detailed information about the user and its related items.
  2. Users can be set inactive or active by checking users’ check boxes and then clicking on "Set active" or "Set inactive". Inactive users cannot be linked to actions, requests, etc. and cannot log in to PlanMill.
  3. To delete one or more user, check their check boxes and click on "Delete selected" in the tools section.
  4. To remove on or more users, check their check boxes and click on "Remove from users" in the tools section. The contact will still be shown on the contacts tab but cannot log in anymore.
  5. A new user is created by clicking on the "New user" link in the tools section.
  6. Export contacts listed in the view to MS Excel by clicking on the "Export to MS Excel" link in the tools section.

Summary view

A user’s summary view is opened by clicking on a user’s name in the list view or when saving a user in the form view. In the summary view more detailed information about a single user is shown.

  1. The form view for editing the user is opened by clicking on the "Edit user" link.
  2. To add a competence for the user, click on the "Add competence" link in the tools section.
  3. To add the user to a team, click on the "Add to team" link in the tools section.
  4. Edit a user's costs and prices by clicking on the "Edit internal costs & external prices" in the tools section.
  5. View the summary view as a PDF by clicking on the "view PDF" link in the tools section.

The name of the user.
User settings
The settings for the user.
Calendar
Lists the user's calendars.
Competences
Lists the user's competenes. Do delete a competence for the user, click on the "(del)" link. To edit the competence, click on the "(edit)" link. To add a new competence for the user, click on the "Add competence" link in the tools section.
Teams
Lists the teams the user belongs to. To remove the user from a team, click on the "(del)" link. To edit the team, click on the "(edit)" link. To add the user to a new team, click on the "Add to team" link in the tools section.
Internal costs & external prices
Lists the user's internal costs and external prices. The costs and prices for the user are edited by clicking on "Edit internal costs & external prices" link in the tools section.
Goal
Lists the goal(s) the user has.

The free text field for describing the contact in detail

Form view

The form view for users contains four sub tabs: User information, Description, Attachments and User settings. The user is saved by clicking on the "Save" link.

The first name of the user.
Last name

Title
The user’s title.
Department
The user’s department.
Account
Each user must belong to an account. Select an account by clicking on the "Select
Mobile phone
The user’s mobile phone number.
Fax
The user’s fax number.
Work phone
The user’s work phone.
Email
The user’s email address. This email address is used in email campaigns.
Status
Defines if the user is active or inactive. The status can also be changed in the list view.
Primary address information
The primary address is automatically the account’s billing address.
Secondary address information
The user’s secondary address.
Type
Defines the type of user.
Hire date
If known, the user's hire date can be set. The hire date is used when calculating the user's balance.
Nationality
The user's nationality.
Depart date
If known, the user's depart date can be set. The depart date is used when calculating the user's balance.
Superior
Sets the user's superior. Based on the users' superiors a hierarchy of the users can be built.
Mother tongue
The user's mother tongue.
Primary team
The user's primary team. A user can only have one primary team.
Primary competence
The user's primary competence. A user can only have one primary competence.
Primary competence level
The level of the user's primary competence.
Photo
A photo of the contact can be uploaded (GIF, JPG, PNG).
Description
A free text field for describing the user in detail.
Attachments
Up to 10 attachments can be uploaded for a single user.
User name
The user name the user uses to log in to PlanMill.
New password and New password again
The user's password can be changed by giving the new pas
Currency
The currency that will be used in PlanMill for the user.
Language
The language that will be used in PlanMill for the user.
Theme
The theme that will be used in PlanMill for the user.
Role & License
Every user must be connected to a role. The current amount of users and the license limits for the roles can be seen in the drop-down field.
Effort unit
The effort unit that will be used in PlanMill for the user.
Calendars
The calendars linked to the user. The calendars are used in calculating the user's balance and capacity.
Balance adjustment
A starting amount for the user's balance, if empty it defaults to zero.
Balance maximum
A maximum limit for the user's balance.
Time zone
The time zone that will be used in PlanMill for the user.
Goal - type
The type of goal.
Goal - period
The period for the goal.
Goal - value
The value for the goal.
